❓ What Is the INTENT Model?
 

The I.N.T.E.N.T. model simplifies meeting design by breaking it down into six essential elements:

  • I - Intention: Define the purpose and the "why" behind the meeting
  • N - Need-to-Know: Identify what needs to be shared and who needs to be invited
  • T - Team Roles: Clarify ownership and involvement
  • E - Engagement: Design for interaction and participation
  • N - Navigation: Use facilitation techniques to keep the meeting on track
  • T - Takeaways: Summarize the discussion and follow up

This model emphasizes that meeting design isn’t just about what happens beforehand. It’s about being intentional at every step - before, during and afterwards.

I found this really interesting. I don’t host meetings every day, but when I do, I try to be really intentional with the structure.

 

The biggest takeaway for me, however, is putting more effort into follow-up and making sure the meeting discussions don’t just end with the meeting. That’s something that I think can be easily overlooked. 

I’m curious if anyone has a solid checklist or set of action items that they do after every meeting. It sounds like it could be a bit tedious, but I’m sure it’d become easier if I stuck to it.

I find the Webex AI assistant super helpful as it summarises the action points from the call which I then share to our team Slack channel afterwards. As a meeting host, it helps me to focus on the meeting instead of having to take notes too. 

We try to come back to these actions at the start of our next team meeting if we aren’t able to resolve everything async. 

When it comes to my own meetings, I tend to start with an old fashioned pen and paper. I’ll write down what I want to achieve and how much time I’ve got to do that. 

From there, I’ll then sketch out how we can divide the time we have in order to achieve the goal. That often helps me realise that I’m too ambitious with my plans or if I need to be creative in my meeting design in order to achieve what I set out to. 

During the meeting, I’ll try to be strict with those timings although will be flexible depending on how we are progressing. It’s always a learning process to see how some topics capture the imagination more - after years hosting meetings, it still takes me by surprise.

So my top tip is that agility and adapting to your audience is key while keeping your goal in mind.

Love this! I’ve started blocking out 5 mins at the start of every meeting just to align on the intention (though we call it purpose) which has made a huge difference. Also a big fan of rotating roles like timekeeper or note-taker to keep everyone involved. For takeaways, I try to end with a quick “one thing you're taking away” round which helps keep it sticky.

Definitely going to try out the INTENT model next time!
